Quotations & invoices — From the proposal to the next chapter.

Keep quotations, line items and draft invoices close to the work they represent.

Who this helps

Teams carrying an agreed commercial scope into a reviewable billing document.

The situation

An accepted quotation is ready for the next billing step, and retyping its scope and amounts could introduce mistakes.

Fictional example: a $1,000 accepted quotation contains $750 for creative work and $250 for content planning. This website example makes no live changes.

Follow the example, step by step

  1. Start from the commercial record

    What you do
Open the accepted quotation and check the client and status.
    What changes
The document is identified as a quotation rather than an invoice.
    Why it helps
You can confirm which commercial step the record represents.
  2. Check the agreed amounts

    What you do
Review the $750 and $250 line items and their $1,000 total.
    What changes
The scope and amounts remain visible beside the conversion context.
    Why it helps
The next document starts from details someone has checked.
  3. Choose conversion deliberately

    What you do
Decide to convert the eligible quotation when a draft invoice is needed.
    What changes
The accepted quotation remains the starting point until that explicit action is taken.
    Why it helps
Agreement and billing remain separate decisions.
  4. Review the resulting draft

    What you do
Create the draft invoice and inspect it before taking any sending or payment action.
    What changes
The sample changes from QT-0001 to draft invoice INV-0001 with the illustrated line items.
    Why it helps
The team can review the billing document before it leaves the workspace.

What your team gains

An explicit conversion creates a draft invoice for review while sending and payment remain separate actions.

Reuse an accepted quotation’s details when you explicitly create its draft invoice.

Inside Quotations & invoices

Quotations

Organize the scope and price of the proposed work.

Line items

Keep quantities, unit prices and totals visible.

Document presentation

Use the finance document layout for a clear commercial record.

Explicit conversion

Choose when to turn an accepted quotation into a draft invoice.

Invoice status

Distinguish a draft from later invoice actions.

Client context

Keep the commercial document associated with the relevant client.

Questions and requirements

Does accepting a quotation automatically bill the client?

No. Conversion is an explicit action. Sending an invoice and recording or collecting payment happen separately.

Can any quotation be converted?

Conversion depends on its eligible status and client association. A lead-only quotation needs a client association before invoicing. The displayed scope and amounts are fictional.

Requirements and limits

Accepting a quotation does not automatically send an invoice or collect payment. Sample amounts are fictional.

Clients & brands — read how it fits

Confirm the client relationship attached to the commercial record.

Organize client and brand records so the team knows who the work belongs to.

Fictional example: Forma Studio is the client and Forma / Autumn collection is the associated brand context.

Before you use it

Brand and user limits depend on plan. The sample businesses and people shown are fictional.

Documents & PDFs — read how it fits

Prepare a separate narrative proposal when the agreement needs more explanation than line items.

Turn reusable templates and variable values into consistent PDF documents.

Fictional example: an Autumn launch proposal receives Forma Studio and 21 October 2026 as its variable values.

Before you use it

Documents are a paid-plan capability. The sample PDF is fictional; it is not a signed agreement or an invoice.
